Overview
This article explains how to allocate your print, copy, and scan charges to a Shared Departmental Account using:
- The PaperCut Client on your computer, or
- The PaperCut console on a campus printer (MFD)
Shared Accounts are used when printing on behalf of a department or supervisor, instead of charging your personal printing account.
Printing from an On-Campus PC
- Print your document as you normally would.
- As soon as you print, a similar window to the one shown below should appear.
- If this print job is for personal use, choose “Charge to my personal account”
- If this print job is for a department, choose “Charge to shared account” and choose the desired department from the Account drop‐down menu.
(Note: employees and students will only see the departments they have permission to charge printing to, they will not see all departments on the list)
- Click “Print”

- Go to printer, sign in, and release your print job.
Printing from a laptop/phone (Mobility print)
- Print your document as you normally would using Mobility Print.
- Log in to the printer and select Print Release.

Select the job you want to print and tap Print.

- When prompted for Account, select the Shared Account by name, and your print will be charged to the selected Shared Account.

Scanning/Copying
- Log in to the printer and select Access Device

- Select the account which should be charged for any scanning/copying.

- Proceed to Scan/Copy the documents as usual.
Troubleshooting
- No shared accounts appear? Your access may not be enabled yet.
- Prompt never appears? Use the on‑device selection at the MFD/Printer
- Charge went to the wrong account? Contact the IT Service Desk with the job time, printer, pages, and the correct account.
