How to Create a Scheduling Poll

Overview

Scheduling Poll (formerly known as FindTime) is a Microsoft Outlook feature that allows meeting organizers to propose multiple meeting times and invite attendees to vote on their preferred options. Instead of exchanging multiple emails to find a suitable meeting time, Scheduling Poll simplifies the process by checking attendees' availability, collecting their preferences, and helping organizers select the most suitable meeting time. Scheduling Poll can be accessed through the following Outlook clients

  • Outlook on the web
  • Outlook for Mac
  • Outlook for Windows

Setting up a Scheduling Poll in Outlook

  1. Open Outlook and select New Mail.
  2. List required attendees in the Required field and optional attendees in the Optional field, and add a title.
  3. Select the New Scheduling Poll icon under the Message tab. Note: The Scheduling Poll option will be greyed out until at least one attendee is added.
  4.  Select the meeting settings, including time zone, duration, meeting hours (only suggest options within work hours) and date. Scheduling Poll looks through attendees’ schedules and suggests a list of suitable meeting times. Select your desired times and click Next.
  5. Confirm your poll’s details and settings as per your requirements, then click Create poll.
  6. Scheduling Poll inserts the suggested meeting times into your email.
  7. Select Send to send the meeting invites and start the voting process.
  8. Invitees will receive the poll by email with proposed meeting times. They can select their preferred times and submit their votes.
  9. The organizer will receive email notifications as attendees respond. Review the voting results and finalize the meeting time.
