Outlook Calendar Invites and Notification- How to Filter into separate inbox folder

Overview

Here is a guide to move all meeting invites and requests to a separate folder in Outlook. This may help to free up your inbox clutter or provide better organization. These rules apply to both Microsoft Teams and WebEx invites.

Setup

Here is the guide for the Online version of outlook (outlook.com). Below is the guide for the Application (desktop) version.

Step 1-

In Outlook, Right Click on "Folders" and select "Create New Folder" and name it "Meeting Requests"

Step 2-

In the top right, click on Settings (the Gear Icon), then select "Mail" and then "Rules".

Step 3 -

Click on "Add New Rule"

Step 4 -

For our first rule please copy the settings below and press save.

Step 5 -

Click on "Add New Rule" again.

Step 6 -

For our second rule please copy the settings below and press save.

Now any meeting request, response, invitation or meeting update will be moved and display in the folder "Meeting Requests". They will no longer appear in your "Inbox".

Outlook Application (Desktop) Steps

Step 1 -

In Outlook, Right Click on your email "name@flemingcollege.ca" and select "New Folder" and name it "Meeting Requests"

Step 2-

In the top left, click on "File", then select "Rules and Alerts".

Step 3 -

Click on "New Rule", select "Move Messages from Someone to a Folder" and press "Next"

Step 4 -

Select the following condition:

Step 5 -

In step 2 of the rule creation click the "specified" link and select the folder "Meeting Requests" and select "OK".

Step 6 -

Press "Next"

Step 7 -

Press "Next"

Step 8 -

Press "Next" to the exceptions

Step 9 -

Rename the rule and press "Finish"

Now any meeting request, response, invitation or meeting update will be moved and display in the folder "Meeting Requests". They will no longer appear in your "Inbox".

 

Additional Information

These rules apply to both the outlook online client and the outlook application. All meeting requests and updates will be moved to the meeting requests folder.

If you wish to remove these rules, then you can go to the rule and select "Discard" to delete it for future requests.
